New Customer | No-Show/Cancellation Deposit Policy Update
Thai Wellness Massage is updating its customer deposit requirements for both new and existing customer. Please review the following.
Purpose of the Policy
Deposit requirements are established to secure appointments and minimize losses from cancellations and no-shows. This ensures that time slots are reserved for committed clients, helping the business manage its schedule efficiently.
Deposit Requirements
New Customers:
A $50 deposit is required at all store locations to confirm an appointment. This deposit demonstrates the customer’s commitment to the scheduled service.
Existing Customers:
Customers with two or more cancellations or no-shows will also be required to pay a deposit for future bookings. This measure discourages repeated last-minute cancellations and helps protect the business from lost revenue.
How Deposits Can Be Collected
Online: Deposits can be paid securely via the Vagaro platform.
InStore: Deposits are accepted by cash or credit card at any store location.
Definitions
NoShow Customer: A person who fails to arrive for a scheduled service without providing prior notice or canceling in advance.
Cancellation Offender: A customer who has a pattern of canceling bookings, services, or contracts in a way that negatively impacts the business, potentially violating cancellation terms.
Cancellation and No-Show Terms
Cancellations: Cancellations made with less than 24 hours’ notice are subject to a cancellation fee of $50 ($30 for a half-hour session).
NoShows: Clients who fail to notify us of their appointment cancellation without prior notice will be charged in full for the scheduled service.
Rescheduling Appointments
Clients may reschedule their appointment up to 4 hours before the scheduled time.
Rescheduling less than 4 hours before the appointment will be considered a cancellation, and the deposit will be forfeited.
Deposit Forfeiture Conditions
The deposit will be forfeited if:
The client is a no-show.
The client cancels with less than 24 hours’ notice.
The client reschedules less than 4 hours before the appointment.
Deposit Refund or Application
The deposit will be applied to the service cost if the client attends the appointment as scheduled.
If the appointment is canceled or rescheduled with sufficient notice, the deposit will be refunded or applied to a future booking.
Refunds are issued in the original form of payment (cash for cash, credit card refunds to the same card). Credit card refunds cannot be issued in cash.
Discretion Clause
Management reserves the right to make exceptions to this policy in extenuating circumstances.
